Doc Jen ("Doc Jen", "we", "us") is operated by Doc Jen App Corp [confirm exact registered legal name], [registered address], Philippines. We respect your privacy and process personal data in line with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and issuances of the National Privacy Commission (NPC). This policy covers the Doc Jen Android app (co.docjen.app) and the website docjen.app (the older address docjen.co forwards to it).
1. Information we collect
- Account information: name, email address, mobile number and sign-in details.
- Family member information: names, birthdays, sex and family relationships of the people you add.
- Health information (sensitive personal information): vaccinations, medications, medical history, questions you ask and the answers given, and prescriptions.
- Identity verification: details and documents submitted for professional, pharmacy and other account-verification checks. Members share a patient's temporary code or a booked visit with a doctor for prescribing; a separate staff identity check is not required first.
- Doctors / consultants: PRC license number, specialty, contact details, private mailing address and practice locations.
- Pharmacies: business name, SEC or DTI registration number, President/Owner, head office and branch addresses and phone numbers.
- Location: the province, city and barangay you choose. If you allow device location, we also use it for nearby services and device-clock checks. You may save an optional home location in your cloud record, change it or remove it. Home locations are visible only to the family and authorized staff; a place receives the home address and map pin when you request home service there. If you search an address to set your home location, what you type is sent to Photon (photon.komoot.io, OpenStreetMap data) to suggest places, and the map pictures come from OpenStreetMap (tile.openstreetmap.org), which receive the map area shown and your internet address as any website would; they are used only while you search and are not kept by Doc Jen App.
- Question location and time: we retain written questions with their asking time and available current location, including GPS when permitted or the place you enter. You may continue with location unavailable. Authorized staff use asking areas for analysis, and your home address stays separate. If configured, a private address lookup provider receives coordinates to identify the place.
- Voice (optional): when you tap 🎤 to speak a question, your browser or phone turns your words into text using its own speech service (for example Google in Chrome or Apple in Safari), which may process your voice online under its own privacy terms. Doc Jen App receives only the written text, which you can check and change before sending; we never record, upload or keep the audio. 🔊 Read aloud uses your device's own voice. Typing works the same if you prefer not to use your voice.
- DocRewards: your DocRewards wallet and every movement in it (gifts, transfers you send or receive, purchases with how you paid and the payment reference, use at places, reversals), problems you report and questions you ask about the total. When you send DocRewards, the receiver sees your email (or your page's name). Movements and the nightly audits (who held how much each night) are kept for good as an audit record; the public total shows only amounts, never names.
- Technical data: app version, device type and error logs needed to keep the service working.
2. Why we use it
- To keep your family's health records and show them to you on any device you sign in to.
- To answer health questions: Doc Jen App (an AI assistant) drafts an answer, and a verified doctor reviews it. When a doctor approves an answer as general guidance, a version without names or personal details may be saved and offered to other members with a similar question.
- To let verified doctors issue e-prescriptions and let verified pharmacies check and fill them.
- To verify doctors, pharmacies and members before they can use certain features.
- To show verified doctors and pharmacy branches near you.
- To keep the service secure, prevent fraud and comply with the law.
3. Legal basis
We process health information (sensitive personal information) based on your consent, and where needed for medical treatment or to comply with law, as allowed under Sections 12 and 13 of RA 10173. You may withdraw consent at any time, but some features will stop working.
4. Who can see your information
- You and the family members you allow.
- Verified doctors reviewing your questions or prescribing for you.
- Verified pharmacies see a prescription only when they scan its QR code, and never browse other records.
- Doc Jen back-office staff who verify accounts, under confidentiality obligations and with every action logged.
- Service providers that run the service for us under data-sharing or outsourcing agreements: cloud database and sign-in (Supabase, hosted in Singapore), AI drafting (Anthropic, PBC, provider of the Claude AI models; we send only the question text and the patient's age and sex, never names, contact details or addresses), and website hosting [name host].
- Government authorities when required by law.
The public "Find a doctor" and "Find a pharmacy" lists show only professional details of verified doctors and pharmacies (name, specialty, practice or branch name and address, branch phone). Doctors' private mailing addresses are never shown.
We do not sell your personal data.
5. Transfers outside the Philippines
Our database is hosted in Singapore. AI drafts are processed by Anthropic in the United States. We require our providers to protect your data to a standard at least equal to RA 10173.
6. How we protect it
Encryption in transit, row-level access rules so each person sees only what they are allowed to see, staff-only access with audit logs, and regular security reviews. No system is perfectly secure. If a personal data breach occurs that is likely to harm you, we will notify you and the National Privacy Commission as required.
7. How long we keep it
Your records are kept in our shared cloud database, not in a persistent browser or phone database. The app and website keep loaded records in memory while open. The members' website keeps your sign-in (a sign-in key only, never your records) in this browser until you press Sign out, so reloading or closing the page does not sign you out; on a shared computer, always sign out. The doctors' website and the staff back-office keep sign-ins in memory only. The owner-approved phone exceptions are reminder alarms that hold their display details until they ring, and prescription or receipt photos saved in the phone's gallery.
Under the current product rules, e-prescriptions, their audit stamps, saved doctor signatures and pharmacy supply records are kept permanently, including replaced prescriptions. Other retention periods remain [owner review: retention periods and deletion or anonymization rules]. This draft still requires legal review.
8. Your rights
Under RA 10173 you have the right to be informed, to access, to object, to correction, to erasure or blocking, to data portability, to damages, and to file a complaint with the National Privacy Commission (privacy.gov.ph). You can delete your account from inside the app or by emailing us.
9. Children
Records of children are added and managed by a parent or guardian. Children do not create their own accounts.
10. AI answers
Answers marked "Doc Jen App (AI) · not yet reviewed by a doctor" are AI drafts: general information, not a diagnosis. Answers marked "Verified by Dr. …" have been reviewed by a verified doctor. In an emergency, call 911 or go to the nearest hospital.
